Noamax is a software service for AI-assisted stock metadata generation and export workflows. This Privacy Policy describes how we handle personal information and service data when you use the website and related services.

2. What information we collect

Depending on how you use the service, we may collect:

  • account details such as your email address, authentication-provider user ID, and basic profile details if account features are enabled;
  • communications you send to us through email or support channels;
  • billing and transaction details provided by Stripe or other payment providers if you make a purchase;
  • uploaded media, resized previews, generated descriptions, keywords, export data, and recent history information if and when you use the application features once they are enabled; and
  • limited technical and operational information such as IP address, browser type, device information, request logs, and security events handled by our hosting, infrastructure, and security providers.

The current public website does not require you to create an account or submit a password.

3. How we use your information

We use personal information and service data to:

  • create, maintain, and secure account records if account features are enabled;
  • operate, secure, and maintain the website and related services;
  • respond to support, legal, billing, and account-related requests;
  • process payments and maintain billing records if purchases are enabled;
  • generate descriptions, keywords, exports, and related AI-assisted results if application features are enabled;
  • maintain recent history, usage records, and credit or subscription records if paid features are enabled;
  • prevent abuse, fraud, unauthorized access, and violations of our Terms; and
  • improve reliability, performance, and operational quality of the service.

4. How media is processed

Our workflow is designed to avoid sending original full-size files directly to AI processing systems. Instead, resized preview images may be created and used for metadata generation. This helps reduce exposure of original media while still allowing the service to analyze the content and generate results.

Uploaded content may be stored privately for processing, preview generation, export creation, and recent history features. We do not position the service as a public media host or long-term storage library.

5. AI providers and training use

We may use third-party AI infrastructure providers to generate metadata outputs. Where our workflow allows, we limit that processing to resized previews or derived information rather than original full-size files.

Customer uploads are not used by us as training material for our own models. If a third-party provider is involved in processing, we work to configure and use those services in a way that is consistent with our service promises and contractual safeguards.

6. Retention and deletion

Original uploads, temporary processing files, and resized previews are intended to be deleted after processing or after a short operational retention window. Small thumbnails and recent metadata history may be retained briefly to support recent activity views, account history, and user experience features.

Account records, billing and credit records, job and output history, audit logs, and similar operational data may be retained for longer periods as reasonably necessary for security, legal compliance, fraud prevention, dispute handling, and accounting.

7. When we share information

We may share information with:

  • authentication and identity providers that support account and session features;
  • payment processors such as Stripe for billing and fraud prevention;
  • cloud hosting, storage, infrastructure, and security providers;
  • AI inference and workflow providers used to deliver the service;
  • professional advisers, auditors, insurers, and legal counsel where reasonably necessary; and
  • authorities or counterparties where disclosure is required by law or necessary to protect rights and safety.

We do not sell your personal information as a customer list or data broker product.

8. International transfers

Although the business is based in Canada, some of our service providers may process or store information in other jurisdictions. When that happens, your information may be subject to the laws of those jurisdictions. We use contractual, technical, and organizational measures that we believe are appropriate for the sensitivity of the information and the nature of the service.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. However, no internet or cloud-based system can be guaranteed to be completely secure.
